How much does it cost to exhibit?
Exhibitor rates vary based on booth size, location, and additional services. For exact pricing and options, refer to the Exhibitor Contract on our website or contact our sales team at Sales@TheFitExpo.com

What is included in each 10’x10′ space?
Each 10’x10′ booth includes an 8-foot high BLUE & WHITE background drape, 3-foot side rail, one 6-foot skirted table (BLUE), two folding chairs, one wastebasket, and one ID sign. Carpet, electrical, and internet service are not included and can be ordered separately through Expo CCI.

What is not included in the booth?
Items such as carpet, electrical services, Wi-Fi, and additional furnishings like extra tables or chairs are not included in your booth package. These items can be rented through Expo CCI, and pricing is available in your Exhibitor Portal.

What are the deadlines for deposits and balance due?
A 50% deposit is required when booking your booth, and the remaining balance is due 60 days prior to the event. Specific payment deadlines are outlined in the Exhibitor Contract.

How are booths assigned?
Booths are assigned on a first-come, first-served basis, with priority given to returning exhibitors and sponsors. If your preferred booth choices are unavailable, we will find a comparable location. Please ensure you’ve indicated your top 3 booth preferences by contacting Marc here.

When will I receive my final booth number?
Final booth numbers will be confirmed approximately 30 days before the event. You can track updates via email or by checking the live floor plan (see Exhibitor section of the website).

What documents are required?
You need to submit a Certificate of Insurance, a California Sellers Permit (if applicable), and any required health permits in order to sample and/or sell ANY consumable product. Please see Food/Supplement Sampling FAQ for additional instructions, forms and deadlines.

Do you have any booth discounts?
Yes. You can save up to 15% with these discounts: MULTI-SHOW: 10% off if you sign up for any 2 of our Expos within a 12 month period, and it jumps to 15% off if you sign up for all 3 Expos. MULTI-BOOTH: 5% off if you sign up for 2 booths at any show, and it jumps to 10% off if you sign up for 3 or more booths at any one show. OTHER: Non-Profits: 10% off (proof of 501-3c status required). Law Enforcement or First Responder Agencies and Military Branches: 10% off. * Maximum combined discount cannot exceed 15%

RULES & REGULATIONS

What forms do I need to exhibit?
Other than the Exhibitor Contract and Payment forms, please read the Required Forms section and return documents to helen.thefitexpo@gmail.com. Ensure that your insurance certificate, health permits (if applicable), and sellers permit are all submitted by the deadlines provided in the Exhibitor Portal.

What kind of insurance do I need?
All exhibitors must provide General Liability Insurance with coverage of $1,000,000 per occurrence and $2,000,000 aggregate. The insurance must name National Fitness Productions/ TheFitExpo, Expo Convention Contractors, and any other entities listed in the Exhibitor Contract as additional insureds. See the Required Documents section for city-specific insurance requirements.

What are the rules regarding booth decorations and structures?
Booth decorations must follow fire and safety regulations. The maximum booth height is 8 feet for standard booths, and any structures extending beyond your booth footprint require prior approval from show management. More info is in the Booth Design FAQ.

Are there fire regulations for canopies or large decorations in our booth?

All fabrics and materials in the booth must be certified as “Flame Proof” or “Flame Retardant” by the California State Fire Marshal. Flame proof certificates must be kept in the booth for Fire Marshal review. Flame proofing certificates from other states (or countries) will not be accepted. If the Fire Marshall cannot locate proof of certification tags on your decoration, they will leave a notice with instructions on how to provide documentation to them directly prior to show opening. Can we hold contests or giveaways in our booth?
Yes, but they must remain within your booth space and not obstruct aisle traffic or disturb neighboring booths. For full details on booth activities, see page 9 of the Welcome Kit.

Can we play music in our booth?
Yes, as long as it is kept at a low volume. If the music disturbs nearby exhibitors, you will be required to lower the volume. See the Amplified Sound Policy.

Can we distribute samples and literature outside of our booth?
Printed matter, samples, lead magnets, etc., must be distributed only from within your booth space footprint.

What is the Amplified Sound Policy?
We respectfully ask that you keep your music and/or PA systems to a level that does not adversely impact your neighboring exhibitors. If complaints are received, security will ask you to turn down the volume to a reasonable level. You must keep the volume at that level for the duration of the show. Please also refrain from playing media containing profanity or other objectionable material. We strive for a family-friendly environment at The FitExpo.

What are the requirements to activate Blood Draws/IV Infusion/Med Spas in our booth?
Approval for these services require additional forms and professional liability. Please inquire for full details.

Is this a Union facility?
Yes. All the convention centers are Union regulated. Exhibitors must comply with local union rules and regulations. Exhibitors who plan to have an EAC (other than Expo CCI, the official contractor) unpack, erect, assemble, dismantle and pack displays and/or equipment must abide by the rules set forth by the exhibitor manual. It is the exhibitor’s responsibility to advise its independent contractors of all the rules and regulations. No one under the age of 18 is permitted in on the loading docks, in truck bays or in the loading dock yard; or in the exhibit hall during move-in/move-out.

Do you have rules about CBD sales?

Any properly licensed business may provide samples or sell exclusively hemp derived topical CBD. Cannabis derived CBD is not allowed. Per state law, proper labelling is required on all products. ABSOLUTELY no CBD consumables can be sampled or sold at any time. Vaping products not allowed per no smoking policy. What are the safety guidelines?

Airspace (Balloons, Drones, etc.): No devices may be flown or tethered within the confines of the Exhibit Hall. This includes helium balloons and helium filled products, drones, or any lighter than air objects either powered or unpowered.

Aisle Obstruction: Any demonstration or activity that results in excessive obstruction of aisles or prevents ready access to a nearby exhibitor’s booth shall be suspended for any period specified by show management. All demonstrations and/or activities must take place within the confines of your booth.

Building & Equipment Protection: Nothing shall be tacked, stapled, nailed, screwed, taped or otherwise attached to the drapes, columns, walls, floors, doors, or other parts of the building or furniture.

Flammable Materials: No flammable fluids, substances, or materials of any nature, including decorative material, which is prohibited by national, state, or city fire regulations may be used in any booth. If you have an overhead tent in your booth space, proof of fire retardant material is required to be in the booth at all times. Helium balloons are prohibited. All curtains, drapes, and decorations must be constructed of flameproof material. The use of lanterns, candles, and fog machines is prohibited.

Security Information: Security is a major concern at every exhibition. It is crucial that every exhibitor work closely with show management to ensure that the exhibition is as secure as possible. Every effort has been made by show management to ensure the safety of your property. After regularly scheduled exhibit hall hours, the exhibit hall will be locked, when possible. Show management’s objective is to implement reasonable measures designed to minimize the risk of loss of your property. However, because such reasonable measures cannot absolutely guarantee the prevention of loss, the facility, National Fitness Productions, show management, and Expo CCI are not liable for any loss of merchandise or equipment from your booth before, during, or after the event. It is ultimately your responsibility for safeguarding your exhibit.

Suggestions/Precautions:

• Ship in locked trunks or crates; Make sure your cartons are securely taped or banded
• Do not indicate the contents of boxes
• Do not leave your booth unattended during the set-up period
• Avoid leaving small, easily concealed items in the booth overnight (i.e.: laptops, cellular phones)
• Never leave your booth unattended during show hours
• Cover displays during non-show hours
• Do not, under any circumstances, leave merchandise in stored containers
• Pack your entire exhibit as soon as the move-out period starts
• Report any theft immediately to the security office
• Hire security to be assigned to your booth during non-show hours

What services are available?
We offer a range of services, including electrical, Wi-Fi, furniture rentals, signage, and material handling. Details and pricing can be found in the Welcome Kit and your Exhibitor Portal.

Can I rent booth furnishings?
Yes, you can rent additional furnishings like tables, chairs, and displays through Expo CCI. You can place your order through the Exhibitor Portal.

When will I receive the Exhibitor Services Kit?
The Exhibitor Services Kit will be available at least 60 days before the event. The Exhibitor Login from Expo CCI will be provided to the primary contact on the Exhibitor Contract.

Where can I store my boxes/stock/luggage?
On-site storage for boxes, stock, and luggage is available through Expo CCI. Storage options and pricing are provided in the Exhibitor Portal. Alternately, you can store luggage at hotel concierge after you check-out.

How do I get a login for the Exhibitor Portal?
Once your Exhibitor Contract is processed, login credentials for the Exhibitor Portal will be sent to the primary contact listed on the contract. If you don’t receive the login, check your junk folder and/or email info@expocci.com directly for assistance.

Where can I order signage, banners, etc.?
Signage, banners, and promotional materials can be ordered through the Expo CCI Exhibitor Portal. Pricing and ordering instructions are found in the Exhibitor Portal.

Where can I order electrical, monitors or WIFI?
Service providers for those services are listed in the exhibitor kit. Login to the exhibitor portal to access more information.

FOOD SAMPLING

Can I sample food, beverages, supplements, etc?
Yes, but you must complete a Temporary Health Permit (TFF) and submit all required forms. Sampling is limited to 2 oz portions for both food and drink. Refer to the Health Permit Packet for forms and additional information.

Do I need a health permit?

Exhibitors who are sampling food, beverage, dietary supplements, or anything else that is meant for an attendee to eat, taste or drink must have a temporary health permit and sampling authorization specific to this expo and this convention center. The complete health information packet with the rules and regulations will be sent in a separate email.

I have supplements, no food. Do I still need a health permit?
Yes. All county health departments define anything that an attendee can eat, taste or drink as FOOD.

I have pet food or pet treats. Do I still need a health permit?
Yes. Pet food and pet treats also require a health permit.

How do I get a health approval for my samples?
Submit the TFF Health Permit Application, along with the fee and required documentation, to show management before the deadline. Full details are in the Health Permit Packet.

Where can I purchase or rent a hand washing station?
You can purchase or rent hand washing stations from most convention centers. Most exhibitors bring their own (e.g., insulated igloos available on Amazon or Home Depot). A hand washing station is required for all food and beverage booths (see the Health Permit Packet for full details).

Where can I purchase ice or water for my booth?
You can order onsite at concessions or pre-order ice and water delivery by contacting the catering company at the convention center. Click on the Deadlines & Contacts link for contact information.

How do I get health approval for my samples?
Complete and submit the TFF Health Permit Application and Sampling Authorization Forms. Include a copy of your manufacturing public health permit (FDA/PFR or CDFA), product images, and labels with ingredients. Full guidelines are included in the Health Permit Packet.

What is the Health Permit Packet?
The Health Permit Packet contains all the forms and guidelines to prepare you to sample and/or sell consumable products at TheFitExpo. The packet is sent to the primary contact on the exhibitor contract or you can download here:

Can I sample or sell CBD products?
Any properly licensed business may provide samples or sell exclusively hemp derived topical CBD. Cannabis derived CBD is not allowed. Per state law, proper labelling is required on all products. Can I get access to the Exhibitor or Attendee Lists?
TheFitExpo does not rent, share, or sell your email or physical address to any third parties or list brokers. In addition, exhibitor and attendee lists are not provided or available to any exhibitor, attendee or programming partner. Please be advised that if you are contacted or approached about purchasing any lists related to TheFitExpo, do not respond or engage. These scammers are phishing for your financial information and will likely sell you a dummy list. We encourage you to block the sender, delete the email, and report scammers to the U.S. Federal Trade Commission fraud division at https://reportfraud.ftc.gov/#/
